Privacy Policy
Last updated: October 21, 2026
This policy explains what information the Foods Galore dock scheduling site (powered by Receivr, the “Site”) collects, how it is used, and the choices you have. The Site is run by the Foods Galore receiving office (“we”, “us”) so that suppliers and carriers can request delivery appointments and our staff can manage the receiving dock.
Information we collect
- Appointment requests (suppliers and carriers): vendor or company name, contact name, contact email, purchase order (PO) numbers, case count, load type, and the date and time you request.
- Delivery details entered by our staff: driver name, driver phone number, door number, lumper fee, notes, and the times a truck arrived, started and finished unloading.
- Staff accounts: name, username, email address, role, and a password that is stored only in scrambled (hashed) form.
- Activity records: a history of changes made to appointments (what changed, who changed it, and when), and sign-in and password-change events.
- Technical data: your IP address is used briefly to limit abuse (for example, repeated failed sign-ins) and is not used to build a profile of you. Our hosting provider may keep standard server logs.
We do not collect payment card numbers, government ID numbers, or health information, and we do not ask for them.
How we use it
- To review, schedule, change and track delivery appointments, and to run the receiving dock.
- To email you about your request: confirmation, approval or denial, a proposed new time, changes, and cancellation. We also email our staff when requests arrive.
- To send account emails such as invitations and password resets.
- To keep the Site secure, prevent abuse, keep backups, and keep business records of what was received.
We do not sell your information and we do not use it for advertising or marketing.
Who we share it with
We share information only with the service providers needed to run the Site, who may process it only for that purpose: our hosting and database provider (Render), our email delivery provider (Resend), and Google Fonts, which serves the typefaces used on our pages and therefore receives your IP address when a page loads. We may also disclose information if required by law or to protect the safety and security of our people, our facility, or the Site.
Cookies
The Site uses one essential cookie that keeps staff signed in. It is not used for tracking or advertising. Your browser may also remember a display preference (such as dark mode) on your own device. Suppliers requesting an appointment are not given a sign-in cookie.
How long we keep information
Appointment and delivery records (vendor, purchase order, quantities, dates, times and receiving details) are kept as business and food-safety records. A driver’s name and phone number, and the contact name and email a supplier gave on an appointment request, are removed from the system one (1) year after the delivery date, including from the change history. If a record is needed longer for an open dispute, claim, or legal or food-safety requirement, we keep it until that matter is resolved. Backup copies are kept for a limited period and may still hold these details for a short time after it is removed from the live system, until the backup is replaced. Sign-in activity and change history are kept only as long as needed for security and accountability. Appointment status pages use a private link that is known only to the person who made the request; please do not share it.
Security
We use encrypted connections (HTTPS), hashed passwords, role-based access so staff see only what their job requires, sign-in rate limiting, and regular backups. No system is perfectly secure, so we cannot guarantee absolute security. Please use a strong, unique password and sign out on shared computers.
Your choices
You may ask us to see, correct, or delete the personal information we hold about you (for example, a contact name and email on a past request), subject to records we must keep (see the retention periods above). Contact us using the details below. Depending on where you live, you may have additional rights under your local privacy law, and we will respond as that law requires.
Children
The Site is for business use and is not directed to children under 16.
Changes
We may update this policy. The “Last updated” date above shows the latest version.
